Invite staff and observers

Landlords can invite tenants where allowed, but they cannot invite observers.

You can also use the staff Create menu in the sidebar when available.
Before you start
Section titled “Before you start”Decide which role the person needs.
Use Landlord when the person should manage assigned buildings and take operational actions.
Use Observer when the person should view building information but not respond, publish, invite, edit, or change records.
Step-by-step
Section titled “Step-by-step”- Open the staff invitation modal.
- Enter the person’s email address.
- Choose
LandlordorObserver. - Select the buildings they should access.
- Review the invitation.
- Send the invitation.
Field-by-field explanation
Section titled “Field-by-field explanation”Email is the address that receives the invitation.
Role decides what the person can do.
Buildings to manage or Buildings to observe defines the user’s building scope. Select all required buildings in one invitation rather than sending a duplicate invitation for each building.
Landlord can usually handle tickets, review join requests, create communications where allowed, and view analytics for assigned buildings.
Observer is privacy-limited and read-only. Observers can view assigned building dashboards, ticket overviews, building pages, aggregate analytics, published updates, and resident-visible active incidents. They cannot view People, anonymous identities, personal-ticket reporter details, internal notes, attachment files, personal-ticket conversations, Knowledge Base, contractor cases, or pattern controls.
Plan usage shows how many role slots remain. Starter does not include Observers, Professional includes up to 10, and Enterprise uses the organization’s configured limit.
What happens next
Section titled “What happens next”The invited person receives an email invitation.
After accepting the invitation, they can access only the buildings assigned to them.
Organization admins can change an Observer’s assigned buildings later from the person detail page.
Operational emails for a building usually go to assigned landlords first. Organization admins are the fallback when no landlord is assigned.
Observers do not receive automatic operational emails.
Common issues
Section titled “Common issues”If an observer can see a page but cannot press action buttons, that is expected. Observer access is read-only.
If a landlord cannot see a building, check the managed buildings section on the landlord detail page.
If the organization admin still receives building operational emails, check whether the building has at least one assigned landlord.
